Role Overview:

We are seeking a Personal Assistant to the CEO who can manage administrative and bookkeeping tasks, ensuring the smooth operation of our office and supporting our CEO with various duties.

European passport and the right to work in France.

Key Responsibilities:

Personal Assistant (PA) Support:

  • Manage the CEO’s calendar, schedule appointments, and organise meetings.
  • Liaise with clients, partners, and stakeholders on behalf of the CEO.
  • Handle email correspondence and phone calls on behalf of the CEO.
  • Prepare reports, presentations, and other documents as requested by the CEO.
  • Assist with yacht charter contracts, client itineraries, etc.
  • Handle sensitive and confidential information with utmost discretion and professionalism.

Bookkeeping:

  • Process and track payments and invoices.
  • Reconcile bank and credit card statements.
  • Prepare monthly accounts for submission to the accountant.
  • Work closely with the company’s accountant.
  • Provide regular financial reports to the CEO.
  • Manage all payments related to the yachts we manage for charter.

Office Management:

  • Ensure the smooth running of the office.
  • Act as the main point of contact for maintenance, mailing, shipping, ordering supplies, equipment, and bills.
  • Organize and maintain filing systems (both physical and electronic).
  • Assist the CEO with personal tasks, administrative duties, and contracts.
  • Assist in managing junior staff, with potential for growth into a supervisory role.

Skills and Requirements:

  • Must be fluent in English. Fluency in French is desirable.
  • Minimum one year of relevant work experience.
  • Experience in the luxury, travel, rental, or complementary industries is desirable.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Excellent problem-solving skills, initiative, and resourcefulness.
  • Detail-oriented and highly attentive.
