Role Overview:
We are seeking a Personal Assistant to the CEO who can manage administrative and bookkeeping tasks, ensuring the smooth operation of our office and supporting our CEO with various duties.
Legal Requirements:
European passport and the right to work in France.
Key Responsibilities:
Personal Assistant (PA) Support:
- Manage the CEO’s calendar, schedule appointments, and organise meetings.
- Liaise with clients, partners, and stakeholders on behalf of the CEO.
- Handle email correspondence and phone calls on behalf of the CEO.
- Prepare reports, presentations, and other documents as requested by the CEO.
- Assist with yacht charter contracts, client itineraries, etc.
- Handle sensitive and confidential information with utmost discretion and professionalism.
Bookkeeping:
- Process and track payments and invoices.
- Reconcile bank and credit card statements.
- Prepare monthly accounts for submission to the accountant.
- Work closely with the company’s accountant.
- Provide regular financial reports to the CEO.
- Manage all payments related to the yachts we manage for charter.
Office Management:
- Ensure the smooth running of the office.
- Act as the main point of contact for maintenance, mailing, shipping, ordering supplies, equipment, and bills.
- Organize and maintain filing systems (both physical and electronic).
- Assist the CEO with personal tasks, administrative duties, and contracts.
- Assist in managing junior staff, with potential for growth into a supervisory role.
Skills and Requirements:
- Must be fluent in English. Fluency in French is desirable.
- Minimum one year of relevant work experience.
- Experience in the luxury, travel, rental, or complementary industries is desirable.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Excellent problem-solving skills, initiative, and resourcefulness.
- Detail-oriented and highly attentive.
